We are a fast-growing PropTech-driven construction company specializing in electrical retrofits, solar-plus-roofing, and compliance-automation projects across California. We’re looking for an Executive Assistant with integrated project management skills—someone who can help our executive team operate at peak efficiency, coordinate multi-entity business operations, and manage day-to-day project execution. This is not a traditional assistant role. It’s a strategic operations position supporting high-level decision making, cross-department coordination, and technology-driven workflow management. ⸻ Key Responsibilities Executive Support • Manage executive calendars, travel, meetings, and correspondence with clients, vendors, and investors. • Draft and edit contracts, proposals, and internal documents. • Prepare board and investor reports, financial summaries, and executive memos. • Maintain confidentiality and handle sensitive corporate, legal, and financial materials. Project Management • Coordinate active construction and retrofit projects from initiation through completion. • Track schedules, permits, inspections, and deliverables using Tradify, Asana, or similar PM software. • Assist in creating and maintaining project scopes, submittals, and status reports. • Liaise between field teams, clients, city inspectors, and subcontractors to keep timelines on track. • Maintain a digital project file system (Google Drive, Dropbox, or CRM integrations). Technology & Automation (PropTech Integration) • Support integration of company automation systems including CRM (GoHighLevel), CompliStack (AI compliance platform), and accounting workflows (QuickBooks / Tradify). • Monitor AI chat and lead pipelines, ensuring prompt response and smooth client hand-offs. • Assist with document automation, data tracking, and cross-platform synchronization. Operations & Administration • Coordinate communications across related entities (HoldCo, OpCo, Trust structures, and JV partners). • Handle vendor onboarding, W-9s, insurance COIs, and compliance documentation. • Manage recurring reporting, task lists, and executive dashboards. • Support hiring, onboarding, and HR compliance coordination. ⸻ Qualifications • 3–5+ years experience supporting C-suite or senior management, ideally in construction, real estate, or PropTech. • Strong understanding of project management processes and software (Asana, Tradify, ClickUp, Airtable, etc.). • Exceptional organizational, writing, and communication skills. • Tech-savvy with ability to integrate workflows across CRM, PM, and accounting systems. • Self-starter who thrives in a fast-moving, entrepreneurial environment. • Bonus: experience with QuickBooks Online, Google Workspace, or AI workflow tools (Zapier, GoHighLevel). ⸻ Compensation & Benefits • Competitive salary (DOE) • Performance-based bonuses tied to project success • Hybrid work flexibility • Growth pathway into Operations Manager or Chief of Staff role
