The Front Desk Coordinator is the first point of contact for resident walk-ins and phone calls regarding general requests or questions. The Front Desk Coordinator provides clerical and administrative support for Sixty-01 staff and operations of the community association. They effectively prioritize and efficiently manage workload to ensure that critical timelines are met. This is a Tuesday-Saturday schedule. Hours 12PM-5:30PM Primary Responsibilities: Answers phones, ensures that the main console is attended at all times, responds to all emergency situations. Essential Duties and Responsibilities: • Greet residents, guests and vendors with a friendly and professional demeanor, providing excellent customer service at all times. • Answer and direct phone calls, take messages, and provide accurate information to callers. • Manage the front desk area, ensuring it is clean, organized and well-maintained. • Process resident requests, work orders, and maintenance issues, promptly forwarding them to the appropriate department for resolution. • Maintain a comprehensive understanding of the association's services, amenities, and policies to effectively assist residents and address inquiries. • Maintain accurate records, files and databases, both in physical and electronic formats. • Accurately and efficiently perform data entry tasks, ensuring the timely and precise input of information into databases or systems, while maintaining a high level of attention to detail. • Assist in monitoring and maintaining security measures, such as visitor logs, key cards, and access control systems. • Collaborate with other team members to ensure efficient office operations and effective communication. Required Knowledge, Skills, and Abilities: • High school diploma or equivalent. • Proven experience as a front desk coordinator, receptionist, or in a similar customer-facing role. • Exceptional customer service and interpersonal skills, with the ability to communicate effectively and professionally with diverse individuals. • Strong organizational, multitasking, & time management skills, with a keen attention to detail. • Proficient in using office software, such as Microsoft Office Suite, email systems, and internet research. • Ability to remain calm and composed in fast-paced and demanding situations. • Excellent problem-solving skills and the ability to handle resident inquiries or complaints with tact and diplomacy. • Ability to maintain confidentiality and handle sensitive information with discretion. • Familiarity with property management or homeowner association operations is desirable but not required.
