What You’ll Be Doing As a full-time Veterinary Receptionist, you’ll be a vital part of our clinical team. Key responsibilities include: Providing top-notch customer service Identifying and working compassionately with clients in various emotional states Answering and triaging high-volume phone calls Scheduling appointments and procedures Checking in clients and monitoring flow from check-in to discharge Confirming appointments and handling client callbacks Managing medical record requests between hospitals and specialty practices Processing payment transactions Relaying information between clients and doctors, technicians, or management Keeping reception and common areas clean and sanitary, including taking out trash, doing laundry, and cleaning floors, bathrooms, exam rooms, kitchen, and kennels (as needed) Using Windows-based computer systems and practice management software Performing other tasks as assigned by the doctors or Practice Manager to help facilitate clinic flow and patient care Requirements What We’re Looking For High School Diploma or GED (college preferred) At least 1 year of customer service experience Veterinary experience is preferred, but not required. About the Role As an early member of the Finance and Administration team you will have a critical impact on building a streamlined and efficient finance and administrative processes through a combination of outsourcing and system development/implementation. This combination of 1) stage of company 2) exposure to executives and 3) your desire to learn, will allow you to experience how to effectively grow and run the finance and other administrative functions (HR, payroll, taxes) of a company at the corporate level. Manage day-to-day accounting operations: Billing, accounts receivable, accounts payable, payroll (via PEO), and equity/expense platforms (e.g., Carta, Expensify). Own the monthly close process: Coordinate, supervise, and review comprehensive month-end, quarter-end, and year-end close processes, including journal entries, reconciliations, and variance analysis. Supervise and mentor accounting staff: Manage both onshore and offshore personnel and grow an internal team as we scale. Implement scalable processes: Develop and refine accounting and administrative policies, controls, and procedures to support a high-growth SaaS environment. Manage external relationships: Coordinate with auditors, investors, and other third parties to ensure compliance and timely filings.
