The opportunity: The National Western Center has a great opportunity for an experienced event professional in Denver, Colorado. The Event Manager will have the ability to build out the program with campus growth. As the main point person for clients and event operations at the National Western Center, you will be responsible for end-to-end execution of events, from supporting sales to complete planning, day-of event management, input in event budget, and, most importantly, creating a positive and memorable guest experience. What you will do: Event Management: · Lead and attend Client Care meetings and walk throughs, assist with pre-event details, gather all client needs, requests and objectives, go through logistics with client such as site maps, diagrams, layouts and event timelines and help educate and advise clients on what works best at the Center. Primary contact for client and event support teams in operations. Collection of all event information, creation of event documents and supplemental documents, working with operations to get all event quotes and producing post invoicing to standards and per required timeline. · Coordinate Client Coordination Meetings with Client and key staff at critical times for success of event. Creating Client Care presentation to relay to client all captured information and billing. · Keep Event Tracking sheet updated during planning, meeting with ops staff as needed for any missing billing or information or expertise on event needs. · Prior to event load in, checking in will all staff and client to make sure all details are still accurate, prior and during load in Event Manager should walk all of the event site to make sure all items are occurring according to run of schedule created and detail sets. This should be done ongoing during all of load in, each day of event and during load out. Include any key operations staff as needed for support. · Attend and present to operational team prior to event (two weeks and one week) to make sure all critical details are known about event and that any coordination with other event, facility projects or construction are coordinated, and client is informed along with operational staff. · Enforce company rules and regulations with events, actively inform the client during the planning process and document details for records and be able to have good crisis and event problem management calmly and effectively for client and NWCA. · Coordinate key meetings with event staff and Campus staff (ie, Operations, AV, F&B, Sustainability, Safety), make sure all groups have necessary information and contacts as needed. · During the event collect all billable items and final quotes along with incident reports and damage reports for post billing sign off with client, prior to them leaving site. · Create after action reports for event in case of event return, also have all post billing completed and sent for review and invoicing by Finance two weeks post last contract date. · Work with Event Management team to review all documents and process for ongoing improvements and appropriate process changes along with creation of necessary documents and use of shared company file systems. · Advise on budget and revenue forecasting for event operations and active event expense management. · Strategize on how to scale event operations in the short-term and long-term with the growth of the campus. · Other duties may be assigned. What you will bring along: · 5+ years of experience in event operations and/or event production; experience with livestock and/or equestrian events, corporate events, expos, public sector, and concerts in multi-facility campus a plus. · Excellent and prompt oral and written communication skills, computer and phone etiquette and sit/stand for a long period of time, proficient in Microsoft Office. · Ability to work a flexible schedule including weekends and holidays along with AM, PM and late-night shifts. · Basic accounting and budgetary skills and understanding operational impacts on event expenses and managing those, be able to identify legal liabilities and mitigate those, strong guest relations, networking and creative problem solving, organization and filing skills. · Ability to lift, pull, and push a moderate weight (about 50 pounds). · Degree in hospitality, operations, event management, or equivalent a plus. · High EQ and interpersonal skills.
