Evergreen Home Heating and Energy – Seattle, WA Are you highly organized, detail-oriented, and ready to play a key role in keeping a fast-paced service department running smoothly? Evergreen Home Heating and Energy is seeking a Service Operations Coordinator to support our Service and Maintenance departments by managing dispatch priorities, KPI reporting, service, inventory and warranty processes, and customer escalations. This role ensures smooth daily operations and allows our Service Manager to focus on leading the field team. What You’ll Do • Oversee dispatch and scheduling to ensure premium customers and maintenance visits are prioritized. • Optimize routes for efficiency and profitability, handle reschedules, and coordinate communication between customers and technicians. • Build and maintain KPI dashboards to track revenue, efficiency, sold vs. performed hours, and membership retention. • Develop and manage processes across the Maintenance and Service Departments. • Process warranty claims and coordinate parts returns, replacements, and vendor communications. • Manage non-technical customer escalations and communications, follow up after resolution, and maintain a high standard of customer satisfaction. • Prepare weekly and monthly reports for leadership, support seasonal promotions, and maintain internal process documentation. • Train news dispatchers and CSRs on systems like ServiceTitan, and help identify opportunities for workflow automation. What We’re Looking For • Strong organizational skills with a knack for prioritizing tasks in a busy environment. • Excellent communication skills for interacting with customers, vendors, and internal teams. • Experience with dispatch, scheduling, or service department operations (HVAC or trades experience a plus). • Comfortable with software tools for scheduling, reporting, and customer management; ServiceTitan experience highly preferred. • Problem-solving mindset with the ability to identify and address process inefficiencies. • Proficiency with Microsoft Office/Google Workspace; strong spreadsheet skills are a plus.
