Job Title: Executive Assistant Location: Boston, MA , 100% in office Schedule: Monday-Friday, 8:30 AM-5:30 PM Start Date: ASAP Type: Temp-to-Perm Compensation: $40-$44/hour About the Role: A top-tier investment firm is seeking a polished, professional Executive Assistant to support four senior-level executives. The ideal candidate will have a minimum of 3+ years supporting C-suite executives in a fast-paced Financial Services environment. This role requires a proactive, highly organized individual with excellent judgment, a collaborative spirit, and a strong sense of discretion. Top Responsibilities: Heavy calendar management across multiple time zones Complex, detailed travel arrangements and itineraries Preparation and processing of accurate expense reports Key Duties: Administrative Support: Manage and maintain multiple executives' schedules Answer phones, screen calls, and relay messages Prepare internal memoranda and meeting materials Coordinate internal/external meetings, including catering and room set-up/clean-up Travel & Expenses: Book travel, hotel, and car accommodations Prepare comprehensive travel itineraries Manage group travel coordination Process credit card bills and expense reports accurately and timely Other Responsibilities: Open and sort mail Support the investment team with data entry into sourcing software and light financial tasks Provide overflow support to other administrative staff as needed What They're Looking For: Bachelor's degree required 3+ years of experience supporting senior executives, ideally in Private Equity Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Strong communication skills-written, verbal, and interpersonal Excellent organizational, prioritization, and problem-solving abilities Proven ability to handle confidential information with professionalism Positive, proactive attitude and team-first mindset Technology & Tools: Microsoft Office (Outlook, Word, Excel, PowerPoint) Zoom CRM/Database software Modern office equipment Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.
