Candidate should be Self-motivated with high attention to detail. - Have knowledge of basic accounting- Process AP and AR-Process 400-500 bills monthly, prorate and divide based off occupancy in each unit. High attention to detail is absolutely necessary. Enter and attach vendor repair bills, communicate with vendors regarding their invoices and past due bills. Receive rent checks and communicate with tenants regarding their past due balances. Issue 10-day notices and be able to meet deadlines. - Have good computer skills- 99% of your job is on a computer and at your desk. You must learn to navigate your way through Appfolio smoothly, learn all the nuances and complete your everyday tasks like entering bills, printing invoices, emailing tenants and owners and writing professionals letters. You will use MS.Word , Excel, Office and other software for this job. - Be a people person- You will be the point of contact for the tenant accounts. Access their ledger and analyze the numbers and explain to tenants. - Have good written and verbal communication skills- This is a must! You will need to write professionals emails to tenants, owners and will speak to tenants and owners on the phone or in person and must maintain a professional demeanor. - Candidate should have reliable transportation/vehicle- You will need to drive to the post office a couple of times a month and do some other tasks outside the office when needed. We are seeking a highly organized Accounting Specialist & Office Coordinator to support a real estate development client in Vancouver, WA. This role will handle bookkeeping, accounting entries, material ordering, subcontractor insurance administration, and subcontractor agreement support. This role is ideal for someone who thrives in a fast-paced construction environment, balancing financial accuracy with operational support. Key Responsibilities: Accounting (50%): Manage accounts payable and receivable, ensuring accurate and timely processing. Handle job cost tracking per project, including subcontractor invoicing, lien waivers, and client monthly Work In Progress (WIP) billing. Prepare bank reconciliations and maintain general ledger accuracy. Assist with month-end close and ensure records are ready for review by CPA. Coordinate with outside CPA on tax filings, and various reporting (quarterly, or annually). As the business scales, processing of in-house payroll as needed. Material Ordering (25%): Place purchase orders (such as finish materials) for various projects, track deliveries, and support inventory tracking as part of system improvement. Exercise sound judgment in spending and strive to achieve the best possible deal for the company. Coordinate delivery schedules with suppliers, project managers, and field teams. Track pricing, availability, and delivery to avoid project delays. Insurance Administration (12.5%): Track and maintain certificates of insurance (COIs) for subcontractors and vendors to ensure they carry proper coverage as per our agreement. Monitor insurance expirations and proactively follow up with subcontractors to maintain agreement compliance. Subcontractor Agreement Support (12.5%): Ensure subcontractor agreements are properly executed and on file prior to work commencing. Track and manage lien releases and retention related to subcontractor payments. Maintain organized documentation for compliance and project close-out. Support the business as needed to ensure overall success. Qualifications: Minimum of 3 years of bookkeeping or accounting experience, in the residential construction industry required. Associate degree in Accounting or relevant bookkeeping/accounting coursework, strongly preferred. Strong knowledge of AP/AR, job cost tracking, lien waivers, and WIP billing. Understanding of GAAP accounting standards, P&L financial statements and Balance Sheet. Proficiency with QuickBooks, required. Familiarity with basic insurance requirements and/or administration. Strong organizational skills, ability to manage multiple priorities, and be a great team player. Effective communicator with vendors, subcontractors, and internal teams. Highly detail-oriented, reliable in follow-through, and committed to integrity and ethical standards.
