Job Description: Title: Family & Estate Manager (Multi-Property) Location: Burr Ridge, IL 60527 Employment Type: Part-time (10-15 hours per week, with additional hours initially to establish household systems, then reduced to regular maintenance) Proposed Start Date: ASAP Compensation: $28-32/hour, based on experience Requirements: Able to maintain a smoke-free environment, reliable transportation, able to pass a background check, valid documentation for out-of-state airfare travel Proposed Schedule: Flexible daytime hours, 2-3 days/week, Mondays and Thursdays preferred; additional overnight travel between properties as needed About Our Family We are an active couple who divide our time between Florida and Illinois (November – May in Florida; June – October in Illinois), with frequent travel in between. Our children are grown and out of the home, though we do share our days with a spirited small dog. While it’s just the two of us in the household day to day, our full personal and professional lives—multiple businesses, investments, and properties—mean we value reliable support to keep everything running smoothly. We’re seeking a trusted and resourceful family and estate manager to oversee household operations, ensure property readiness, prepare meals, and provide family support across multiple residences, with travel between Florida and Illinois as needed. The person we’re looking for is: -High-energy yet steady and laid-back; able to stay calm under pressure -Positive, kind, respectful, and professional demeanor -Willing and able to travel to support the family across multiple residences -Deeply trustworthy with strong ethics; experienced in handling confidential matters and comfortable with NDAs -Ultra-organized, detail-oriented, and proactive in creating and maintaining order -Strong work ethic and ability to take initiative without needing direction -Tech-savvy; must be comfortable with smart-home systems and troubleshooting, as well as incorporating technology into systems -Quick learner with strong problem-solving and critical thinking skills -Discreet, nonjudgmental, and humble—we prefer a peaceful and drama-free environment -Fun, personable, and able to integrate seamlessly into the family environment Key Responsibilities: Household Management & Organization -Maintain household organization systems and clean-outs across closets, storage, pantry, garage, etc. -Reset and tidy rooms daily, ensuring the home remains neat, orderly, and ready for regular cleaning services (load/unload the dishwasher, take out trash/recycling, wipe surfaces, and vacuum high-traffic areas) -Care for and maintain indoor plants -Conduct seasonal swaps (clothing, décor, bedding, etc.) to keep the home current and functional -Prepare the household for family events, holidays, and guest stays (with emphasis on seasonal visits to Florida) -Coordinate and prepare donations, including arranging drop-offs and pick-ups -Support family with packing and unpacking for travel and seasonal transitions -Manage and troubleshoot household smart home systems and access information (e.g., security/alarm, lighting, HVAC, passwords, garage codes and entertainment), ensuring they operate smoothly and are user-friendly for the family Inventory Management & Errands -Track and restock pantry, fridge, toiletries, household supplies -Create and manage running household supply lists -Coordinate and manage household orders (Amazon, Costco, Target, etc.) -Run errands: grocery shopping, returns, dry cleaning, gift shopping -Handle package pickup, mail sorting, and deliveries Meal Planning & Preparation -Plan and prepare 2-3 healthy, well-balanced dinners per week -Prepare simple, nutritious lunches for easy access throughout the week (e.g., chicken salad or other protein-forward options) -Ensure meals are balanced, with an emphasis on wholesome, protein-rich ingredients -Shop for groceries and other meal-related items as needed -Maintain kitchen cleanliness, including post-prep cleanup and ongoing tidiness -Open to coordinating with or overseeing a meal prep chef, if needed Laundry & Linen Care -Wash, dry, fold, and organize family laundry (e.g., clothing, bedding, towels) -Iron, steam, and prepare outfits as needed -Manage linens: rotate bedding, refresh towels, restock essentials -Keep laundry areas tidy and well-stocked with supplies Pet Care -Feed and walk the dog as needed -Schedule and coordinate vet, grooming, or daycare appointments -Administer medications, if required -Keep pet supplies stocked and organized Deep Cleaning & Special Projects -Tackle occasional deep cleans (fridge, oven, garbage bins, baseboards, etc.) -Maintain and refresh specific zones (entryways, garage, mudroom) -Organize special projects (e.g., getting seasonal decorations from storage and helping with setting up/putting away) Administrative & Personal Assistant Support -Assist with coordination of events, appointments, and guest prep -Open to helping with family business needs as needed (e.g., responding to emails, conducting research, etc.) -Maintain comprehensive household calendars (weekly, monthly, annual) for all properties, including maintenance schedules, events, and important dates -Track family and friend birthdays, coordinate gifts, and handle shipping or delivery as needed Vehicle Management -Schedule and oversee maintenance, oil changes, and inspections -Ensure vehicles are fueled, cleaned, and organized -Track registration, insurance, and service schedules Property & Vendor Oversight -Serve as the primary point of contact for service providers, vendors, and guests. -Schedule, communicate with, and supervise household service providers (e.g., cleaners, contractors, landscapers). -Research and coordinate repairs, maintenance projects, and vendor quotes. -Manage routine upkeep and seasonal maintenance needs across multiple properties -Oversee property-specific systems such as HVAC, security, pool, and landscaping -Ensure properties are guest- and family-ready before visits -Conduct property walk-throughs to confirm safety, upkeep, and organization. -Establish and maintain systems for seamless property turnover, including seasonal or guest transitions. -Provide oversight during home renovations and special projects -Perform periodic house checks at the family’s Chicago residence while they are away

Key Responsibilities: Maintain positive relationships with volunteers, sub-contractors, and neighbors.
