Organization: Ink People Center for Arts & Culture Location: Eureka, CA (on-site with limited hybrid flexibility, as appropriate) Reports to: CFO/Administrative Director; works closely with current Bookkeeper and Administrative Director Classification: Non-exempt, part-time (approx. 0.45–0.60 FTE) Compensation: $20/hr, possibility for increase related to experience Target Start: As soon as available About the Role The Accounting Assistant supports day-to-day accounting for the Ink People’s core operations and its DreamMaker Program (our large fiscal sponsorship program).. This role is hands-on and collaborative—ideal for a detail-oriented individual who enjoys improving systems, partnering with program staff, and supporting a values-driven arts nonprofit. Key Responsibilities - Daily/Weekly Accounting - Process A/P and A/R: enter bills and invoices, route for approval, schedule/pay vendors, record deposits. - Maintain vendor files (collect W-9s, track 1099 vendors) and assist with annual 1099 filings. - Record and review journal entries; maintain orderly, timely documentation. - Assist with cash receipts, credit card transaction entry, and expense coding and similar data entry. - Month-/Quarter-End Close - Support month end reconciliation of bank, credit card, and balance-sheet accounts via investigation of variances and creating correcting entries if needed. - Support allocations, reclasses, and correcting entries. - Produce preliminary reports for CFO review, flag variances, and propose adjustments. - On Going process improvements and developments - Assist with continuous process improvements by testing and documenting procedures, “how to” guides and supporting internal user training - Provide feedback and suggestions on processes used by the accounting staff. - DreamMaker Program Support - Provide clear, service-oriented support to project directors on statements, coding, and deadlines. - Assist with monitoring and communicating DreamMaker available balances and expense tracking - Assist with preparation and distribution of DreamMaker monthly reports Compliance & Audit Readiness - Maintain orderly, audit-ready files; support annual financial audit and other reviews. - Assist with 1099s, charitable filings support, and adherence to GAAP and nonprofit accounting standards (ASC 958). Teamwork & Communication - Partner with the CFO, current Bookkeeper, and Administrative Director to meet monthly deadlines. - Communicate clearly and respectfully with a diverse community of artists and project leaders. - Contribute to process improvements that reflect our B-JEDI values (Belonging, Justice, Equity, Diversity, Inclusion). Qualifications Required - Proficiency with accounting software and Google Workspace (Sheets, Docs, Drive). - Experience with accrual accounting and account reconciliation. - High attention to detail, confidentiality, and documentation discipline. - Ability to organize work across multiple projects and deadlines; reliable follow-through, including during periods of organizational and procedural changes.. Preferred - 2+ years of bookkeeping/accounting experience (A/P, A/R, reconciliations, journal entries). - Experience in nonprofit accounting, including restricted funds and grant tracking . - Hands-on experience with Sage Intacct (or similar mid-market systems). - Experience supporting fiscally sponsored projects or multi-department/org structures. - Intermediate spreadsheets skills (lookups, pivot tables, imports). - Familiarity with 1099 compliance and vendor onboarding. - Bilingual or multilingual is a plus. Work Schedule & Environment 18–24 hours per week, schedule set with supervisor; occasional extra hours during close/audit. Primary worksite: 627 3rd Street, Eureka, CA; limited hybrid flexibility may be available after onboarding. Standard office environment; extended computer work and regular lifting of files/boxes up to ~20 lbs may be required. Compensation & Benefits Hourly, non-exempt; final pay range will be stated in the public posting (per CA pay transparency). We are searching for an experienced Accounting Associate I (FT) at our Palmer HQ facility. Primary Duties and Responsibilities: NATURE OF WORK Under the direction of a Finance Manager/Supervisor, performs tasks that relate to Revenue Accounting, Billing, General Accounting, Payroll, Plant and other duties as assigned. Research accounts to be written off. Prepare and mail final notice letters, established work rules and collection laws. 12. Accounts Payable receives vendor invoices and statements from internal and external sources. Timely and accurately records liability in Accounts Payable system. 13. Immediately obtains appropriate authority to pay through a variety of established processes. 14. Pulls invoices from Open A/P file for payment according to established payment rules and processes. 15. Maintains (adds/changes) Address Book for Accounts Payable (vendors), Accounts Receivable (customers), and Payroll (employees). 16. Maintains employee payroll file in coordination with HR staff. 17. Prepares and processes payroll according to applicable laws and work rules. Must have a working knowledge of Collective Bargaining Agreement(s), MTA work rules, and State and Federal labor law. 18. Respond to employee inquires related to time entry and pay. 19. Monitor and prepare charges for billable work orders, prepare labor and material charges for cable damages. 20. Record additions and retirements to balance all general support asset CPR’s to the general ledger. 21. Reconciles inventories and assists with physical inventory counts. 22.
