An established, renowned, Oakland-based custom cabinetry and furniture fabrication/installation business seeks on-site Office Manager to join our small team.
Job Description:
The Office Manager (OM) works in our Oakland warehouse providing detail oriented, reliable support to our small team and busy office. Working directly with the company Owner/President, the OM is the first point of contact for vendors, clients, subcontractors, project managers, and government agencies and performs an array of essential duties related to keeping our business running smoothly.
The Office Manager both follows existing systems and protocols and is expected to innovate, troubleshoot, or devise new systems as needed to maintain operational accuracy and efficiency.
Role & Responsibilities include but are not limited to:
• Basic Bookkeeping / Banking
• Accounts Payable / Receivable
• Payroll & HR Benefits Management
• City Licensing and Taxes
• Insurance Policies and Certification
• Client Liaison as needed
• Answering and redirecting phone calls
• Scheduling meetings, services and appointments
• Vendor and Subcontractor Management
• Office Supplies & Organization
• Overall Management of our Finances, Office & Business Administration
This dynamic role is a combination of recurring daily duties such as bookkeeping, financial tracking, bill paying, and a variety of start-to-finish tasks as they come in, such as filing tax forms, scheduling services, communicating with our vendors and subcontractors, etc. The job requires a strong ability to prioritize, adapt, and manage shifting deadlines as needed.
The Office Manager is a flexible position within the company and we are open top discussing the amount of hours and days required each week. Our office hours are 6am to 2:30pm, Monday through Friday. Ideal candidate can accommodate work hours within that window.
Requirements
• Speak, read, and write fluently in English
• Excellent communication and organizational skills
• Excellent attention to detail
• Ability to manage time, deadlines, and shifting priorities
• Ability to work in-person every day for at least 3 hours
• Ability to work independently and also in collaboration with leadership and other team members
Software and Programs
• Quickbooks Online – bookkeeping and bill paying (mid-level to expert)
• ADP – Payroll, HR, & Benefits (training available)
• Google Office Suite (training available)
• Microsoft Office Suite
• Mac/Apple OS
Compensation & Benefits
The Office Manager is paid hourly. We are open to part-time for the right candidate.
