Administrative Assistant (boston: northwest/merrimack)
Our client, a Tyngsboro, MA corporate office, is seeking a Temp to Hire Front Desk / Office Coordinator to support our business operations. This role is essential in providing administrative support to the Controller and business office, ensuring smooth day-to-day workflow.
Key Responsibilities
Administrative & Front Desk
Answer and direct phone calls, greet visitors, and provide excellent customer service.
Maintain organized accounting and office records through filing, scanning, and copying.
Prepare and distribute daily sales reports and miscellaneous reports for checks and balances.
Accounting Support
Enter data into the accounting database and support record accuracy.
Assist with billing, vendor payments, cash receipt posting, and reconciliations.
Support monthly and annual inventory counts.
Provide backup support during software upgrades and system processes.
General
Act as backup to other department positions as needed.
Maintain confidentiality, professionalism, and a clean, organized office environment.
Demonstrate integrity, punctuality, and strong communication when collaborating with colleagues.
Qualifications
Preferred: Proficiency in MS Office (Excel, Word, Outlook).
Strong organizational, multitasking, and communication skills.
Ability to handle sensitive information with discretion.
Physical Demands & Work Environment
Ability to sit, communicate, and operate office equipment for extended periods.
Must occasionally move materials weighing up to 25 lbs.
Standard office environment with minimal physical exertion.
