How to Schedule a Meeting Using the Windows App?

The Windows application offers the most features, including the ability to start an immediate 'Meet Now' session. To begin, open the Microsoft Teams application and navigate to the Calendar tab on the left-hand menu. Here, you have two primary options:

  • Click 'Meet now' if you need to start a video call immediately. You can add a title and invite people after the meeting has started.
  • Click 'New meeting' to schedule an event for a future time. This opens a detailed form where you can add a title, mandatory attendees (who will receive an email and notification), an optional channel for broader visibility, and the date and time.

Once all details are entered, click 'Save'. This action will close the window and officially send the invitations to all participants through their Outlook email.

What Are the Steps for the Mobile App?

The Microsoft Teams mobile app for iOS and Android provides similar functionality but is optimized for on-the-go scheduling. You cannot start an instant 'Meet Now' meeting from the mobile calendar view; the focus is on scheduling in advance. Open the app and tap the 'Calendar' tab at the bottom of your screen. To create a new event, tap the '+' icon (which looks like a calendar with a plus sign) in the top corner.

You will then fill out the 'New Event' form. This includes the meeting title, participants, and the date and time. A key feature is the 'Share to a channel' option, which makes the meeting accessible to an entire team channel. After entering all details, tap the checkmark or 'Done' button in the upper right corner to finalize and send the invites.
